Specifically interested in real world use cases where teams have used it for lead routing, enrichment, or lifecycle triggers without creating maintenance debt. Not looking for step by step implementation, more perspective on what’s worked well, what hasn’t, and when you’d recommend n8n over native CRM / marketing automation. Happy to DM if easier.
Great question. I only use n8n when it's really needed. Let's break it down step by step, asking yourslef: what stack do you need to connect and who will build and maintain it, as it requires tech skills for debugging, API work, etc? I would use n8n in situations when you have complex conditional logic your crm can't handle; you need to connect tools without native integrations; you're working with non-standard data flows. Situations when you don't have to make it too complex: workflows are straightforward and classic, even lifecycle triggers are manageable by generic crm and automations platforms like zapier or make. However, I think your industry matters too: just consulted a real estate agency that needs n8n because they're connecting MLS feeds, transaction management systems, and custom property DBs that are very complex, and standard marketing automation is not helpful in their case.
Thanks Lana, really helpful. Quick question: in B2B (HubSpot/SFDC + enrichment/intent + Slack alerts), what’s the usual trigger point where native automation/Zapier stops being enough and n8n becomes worth the maintenance? Also, what’s the minimum in-house capability you’d want to run it safely?

shiv H. the switch point is usually multi-source enrichment (bidirectional sync) or complex conditional routing. For in-house capability I d say: min is someone comfortable with apis, json, and logical troubleshooting. However, its getting into the specifics of your exact setup and goals, so happy to explore that in a proper consultation if you want.

In your experience, what’s the simplest “starter” n8n workflow that gives real ROI in B2B (e.g., enrichment + routing) without turning into a maintenance monster and what would you explicitly avoid in v1? If it’s easier, I’m happy to DM a 3 to 4 line overview of the stack and goal so you can sanity-check whether n8n is even warranted.

I'd only reach for n8n when I have a highly custom workflow and there's no domain-specific solution that already handles that use case. For funnel optimization specifically, I'd look for tools built by teams who live and breathe funnel optimization — they'll handle edge cases, maintain integrations, and ship improvements you'd otherwise have to build yourself. n8n is powerful, but the maintenance burden is real. If there's a company 100% focused on your domain, let them carry that weight so you can focus on your actual business.
