I'm running CRM audits on HubSpot for a few agency pilots. Right now I check 5 things: • Clean records: duplicates, missing owners, empty required fields • Pipeline and stages: deals skipping stages, stage dates that don't add up • Activity on the right deal: emails and calls logged to the contact, not the deal • Lead source: blank, overwritten, or set by two tools • Stale deals: open deals with no activity in 30+ days For the consultants and agencies here: what do you check that's not on this list? And which finding gets a client to act fastest?
• Closed-won vs. actual revenue: do the agreed contract values match what the customer is actually being billed? • Customer status vs. reality: are paying customers still marked as leads, or churned customers still marked as active? • Post-sale contract terms: are renewal dates and notice deadlines recorded at all? They’re rarely required fields, but sales can’t see a renewal coming without them. On what gets clients to act fastest, my bet is anything with a number to it. Duplicates are hygiene, but finding a customer who’s been underbilled by 450/month gives you something concrete to investigate, and potentially recover.
I agree with Tim! I will add :
Workflow : useful / Break / useless
Notes with Call next Monday/Week/Month : How many of them have an activity or call back.
If you want to go deeper into Hubspot via an IA you can use the API
id add a check on which user or integration last edited stage and amount. a lot of the mess is some sync quietly overwriting stuff, not reps
