Has anyone built an automation or agent that auto-drafts follow-up emails for sales reps? Looking for something that queues up drafted replies each morning for rep review and one-click approval before anything sends. We want reps spending less time writing routine follow-ups without losing control of what goes out. Curious if anyone has gotten this working via Hubspot workflows, the agent builder, or a connected tool (ie. Claude, Zapier). Ideally the drafted responses would sit right in gmail but open to HS tasks as well. What's actually working and where are the limitations?
Have you played with the prospecting agent at all?
Already done via a tool like Fyxer or Sybill
Melanie S. I’ve seen a few setups like these so this is doable. 👍 The cleanest version is to either have Hubspot workflow as the trigger, passing the context to an LLM then creating a gmail draft for review. That helps keep control and avoids sending anything automatically. Ps. where it tends to break is context. If the draft isn't pulling in the right signals like last touch points, call notes etc. itll end up sounding generic. So either picking gmail or hubspot as approval works best, mixing both wouldn't be ideal. Also, are you trying to base the drafts more on call transcripts or CRM activity? 🤔
Not super familiar with Hubspot's features but I have done this for clients using other CRMs with tools like n8n / Zapier + an LLM like Claude. For general limitations / considerations I'd say if you don't give the LLM enough context the quality will degrade so draft quality depends a lot on what's in the CRM / data hygiene which is probably not very surprising.
I have built this, but it works primarily based on commitments & stalled deals. It can queue up the follow-ups depending on responses or activity from the leads, and keeps the deal in motion automatically. Admins can tweak and decide the cadences for the reps however they want. Context is built from tools you connect to it (email, calendar, CRM, others), and drafts are created in gmail & in existing threads if those exists. https://cosos.xyz/ Don't want to self-promote too much as it’s still in pre-launch, but happy to show how it works in practice, free of charge!
