Wondering if anyone has any know of a tool or has any recommendations - I am looking for a Hubspot (HS) integration/tool that does Meeting Outcome Automation. The tool will set the meeting outcome from 'scheduled' to 'completed' after meeting starts with functionality to easily mark as 'no show' without having to manually update the outcome in the activity record I am looking for something like what RevenueHero has. But RevenueHero works only with meetings that were created via its platform (ie. Inbound router, Outbound Relay links, or personal meeting links). It doesn't support manually scheduled meetings from HS calendar tool OR scheduled in Google Calendar and synced over to Hubspot.
In my experience, "no show" meetings are hard to track automatically in HubSpot. But if the team can handle manual updates there, automating the "scheduled" vs "completed" is pretty simple via workflow. You will want to look for the emeting to be created, then set the Outcome = Scheduled. Once the time of the meeting is in the past, you can use that as a trigger to update the Outcome = Completed
Eric D. If your meeting tool is connected to HubSpot, you can likely create a custom workflow that updates the meeting outcome, based on triggers like meeting time or attendance. Also, on paper, this setup is very doable, especially with custom properties and workflows. Tools like Chronograph or Chili Piper may also help; they offer more flexible post-meeting automation and may support meetings not booked through their own system. To recommend the best fit, we’d need to know what meeting tool you’re using, whether it’s synced to HubSpot, and if you use any notetakers. Thanks.
Hi Eric. I'm new here, but I have one suggestion. Hubspot and Google Calendar, including OR scheduling, can be integrated through platforms like make.com, which are specifically made for automating all kinds of platform integrations and can do incredible things very cheaply. There's a bit of a learning curve, though.
Hey Eric - this had almost a breaking point to move to hubspot. But we did end up making the move to hubspot. Not sure if this will directly answer your question or solve your problem. We got access to a beta where you can add custom properties to meeting object where you can let sellers update meeting from a list view/Index page.
Thanks everyone for their replies. We solved for majority (90%) of cases using Make.com (Kevin L.) and the rest we have manually updating via the beta list view mentioned by Nikhil M.. We will optimize the make scenario in future to take into account body text from follow up email messages when they no show.
