How to Track Event Attendees in HubSpot for Sales: Best Practices and Tools

Hi everyone, curious how others are tracking event attendees in HubSpot for sales purposes. Use case: contacts and/or companies attend multiple conferences a year, some with meetings, some without. Many are recurring, so the same attendee might go one year and skip the next. We need to be able to see meetings, contact conversions, and deals by trade show, and differentiate contacts/companies via lists, contact views, and reports. Planning to use workflows to drive a lot of this. Ideas I'm considering: multi-select properties, meeting types (just to say it was at an event), custom objects, campaigns. Would love to hear what's actually working for people. (And yes, I'm also wishing HubSpot had custom activities like some other CRMs 😞)

I'd probably go with meeting types since people tend to put them on their calendar anyway I'd also ask in the HUG Slack community

I've built this via a custom object. Probably my favorite thing I ever built and about to do it again.

The only issue is this client already has 2-3 custom objects so I worry it will be too many custom objects

But I can see the appeal from a reporting standpoint

We have used a custom object before, but are focusing on "Events" in Marketing, and associating those to campaigns in Hubspot

Hi Paris The reason every option you're considering feels like a workaround is because it is — HubSpot's contact/company model wasn't built for event-instance tracking. You're not missing something obvious, it genuinely doesn't have a clean native answer. This is something I have seen some colleagues facing and I have helped them using a rather simpler way: track the event layer completely outside HubSpot, sync only the summary back as a contact property. Your reps get their reporting, your HubSpot stays clean, and you don't add a fourth custom object. Hope that helps. Would love to discuss further!

That's still a "4th" object....it's just not in HubSpot 😉

Haha true Pat, the object exists either way 😄 But the pain doesn't have to. A custom object in HubSpot means schema dependencies, admin bottlenecks, and a structure that fights back every time the use case evolves. A custom app I was talking about adapts to your new event, new field, new report without touching HubSpot's architecture at all. Same data, zero additional friction inside the CRM, and it's EASY TO USE ;)

Fair enough, Pat I think I threw around “complexity” too loosely there. What I really meant is: I’ve seen this go sideways when the event format changes every quarter and marketing ops is already underwater. In those cases, keeping the event layer outside has saved the team from becoming the bottleneck. But you’re absolutely right, if the structure is stable and there’s someone who can own the object properly, it’s a much cleaner reporting path. Appreciate you keeping me honest here.
